PROGRAM POLICIES

2024 SUMMER POLICIES

 

These Terms of Service (“Terms”) are a legally binding contract and govern your and/or your children’s access to, and use of, products, services, activities, and camps, including, but not limited to, Camp TTT (“Services”) offered by Temporary Tot Tending, Inc.

  

PROGRAM ELIGIBILITY

To attend Camp TTT Summer 2024, your child must have completed Transitional Kindergarten (TK) and be toilet trained by the start of camp.

 

PAYMENTS

  • Non-refundable $25 deposit per session paid at the time of registration.

  • Remaining balance is automatically processed on

    • May 1 (Sessions 1-4)

    • June 3 (Sessions 5-7)

    • July 1  (Sessions 8-10)

  • Tuition Auto Pay (TAP) can be set up with a bank account (no fee) or credit card (2% service fee).

  • Insufficient funds or credit card denials are subject to a $50 fee.

DISCOUNTS 

  • Super Early Bird Discount of $25 off per session ends Thursday, February 29. 

  • Early Bird Discount of $15 off per session ends Friday, May 1. 

 

ADDING SESSIONS

  • To add Camp Sessions, AM & PM Camp, or lunch, use the Parent Portal.

  • There is no charge to add.

 

TRADING SESSIONS

  • To trade sessions (canceling and adding the same number of sessions), you must FIRST register for the session(s) you would like to add using the Parent Portal and then submit a Notice of Change Form for the session(s) you would like to cancel.

  • If you are trading sessions, please indicate the session(s) you have added to substitute for the session(s) you are canceling. 

  • There is no charge to trade sessions. 

 

CANCELING SESSIONS

  • To cancel Camp Sessions and receive a full refund (less the $25/per session deposit), the Notice of Change Form must be received no later than Monday, May 1. There are no refunds for cancellations after Monday, May 1.

  • To cancel AM & PM Camp, or lunch, and receive a full refund, the Notice of Change Form must be received no later than the Friday prior to the camp session.

  • In the event of cancellation due to force majeure (including but not limited to COVID-19), a refund/credit will be offered for any subsequent weeks that Camp TTT is unable to operate.

  • Absences cannot be made up. There are no credits or refunds for missed days.

  • Please know that our cancellation policy is intended to allow our team of experienced professionals to plan and implement a summer program that meets your family’s needs.

 

LATENESS & ABSENCE

  • If your child is going to be late or absent, please notify Camp TTT.

  • Absences cannot be made up. There are no credits or refunds for missed days.

 

EARLY DROP-OFF/LATE PICK-UP

  • There are no drop-offs before 7:00 AM.

  • Drop-Offs during AM Camp (7:00-9:00 AM) are subject to the AM or PM Camp Fee.

  • Pick-Ups during PM Camp (4:00-6:00 PM) are subject to the AM or PM Camp Fee.

  • There is a $5 per minute Late Fee starting at 6:05 PM. Frequent lateness may result in dismissal.

 

SECURITY

  • Parents/guardians are required to provide their unique pin to a staff member upon drop off and pick up.

  • Be sure a staff person acknowledges your child’s arrival and departure. Children must not be left unsupervised.

  • Your child will only be released to those authorized in the Parent Portal.

  • If there is a change to your family information (telephone, custody, medical, etc.), you must update the Parent Portal and inform the Camp Director.

 

ITEMS FROM HOME

Children are only permitted to bring a light jacket, hat, and water bottle to camp.

 

CELL PHONE USE

Children are not permitted to use cell phones. If a child needs to contact parents, the camp phone is available. 

 

ILLNESS

  • Stay Home - You must keep your child home if they have a temperature of 100.4 or above or any other flu-like symptoms (Symptoms include fever, chills, muscle aches, cough, congestion, runny nose, headaches, and fatigue).

  • Child Pick-Up - If your child is in our care and has a temperature of 100.4 or any other flu-like symptoms, you will be called and expected to pick up your child within one hour.

  • Returning to Camp - After your child has been ill, it is important to adhere to the following guidelines when determining whether or not your child is ready to return to camp.

    • Mood, appetite, behavior, and activity are again normal

    • No fever for 24 hours without a fever reducer

    • Vomiting, diarrhea cleared for 48 hours

    • Frequent coughing, excessive nasal discharge resolved

    • Pain (earache, cramps, headache, etc.) resolved

 

MEDICATION

  • To administer any medication, including over-the-counter items, to your child, TTT requires that you provide us direction from a doctor and your daily written authorization (on the TTT Medication Authorization Sheet).

  • Medication must be turned in to a Director or Program Lead.

  • Medication may not be stored in a child’s backpack.

 

ALLERGIES & SPECIAL DIETS

If your child has allergies or dietary needs, you must list them in the 1CORE Parent Portal and discuss them with a Director.

 

WATER

  • All children are required to bring a refillable water bottle from home.

  • The use of water fountains will be restricted. 

 

SUNSCREEN

  • TTT will use Rocky Mountain Sunscreen SPF 50 KIDS Spray Mist to apply sunscreen to children.

  • Please do not bring sunscreen from home unless your child has a doctor’s note verifying an allergy or skin condition that requires an alternative brand.

 

LIMITED ACCESS TO CAMP

  • Access to our Camp will be limited to staff, children, and business-essential personnel.

 

ASSUMPTION OF RISK

Using the Services carries certain inherent risks that cannot be eliminated regardless of the care taken to avoid injuries. You understand that you and your children may be exposed to dangers and hazards, including but not limited to: use of common classroom tools such as scissors, hot glue guns and tape dispensers; active outdoor play with other children; in-person interaction with other people; use of playground equipment; use of specialized equipment for certain activities for children entering grades 4 - 7 (including, but not limited to, cooking tools, kitchen knives, saws, drills, etc.); as well as the negligence of others. By using the Services, you understand and appreciate these dangers, hazards and other risks that are inherent in these activities, and that you acknowledge that your children’s participation is voluntary and that you knowingly assume all such risks.

ACKNOWLEDGEMENT OF HEALTH CARE PROCEDURES

For in-person programs, activities or camps, you give permission to TTT to act according to their best judgment in any situation requiring medical attention for your children. This includes, but is not limited to, routine health care, administering and/or dispensing prescribed medications, and seeking emergency medical treatment including ordering x-rays or routine tests. You agree to the release of any records necessary for insurance purposes. You acknowledge that it is your responsibility to provide medical insurance coverage for your children while participating in the activities. Any costs of medical treatment provided to your children that are not covered by medical insurance will be your sole responsibility. You give permission to TTT to arrange necessary related transportation for your children. In the event you cannot be reached in an emergency, you hereby give permission to the physician selected by TTT to secure and administer treatment, including, but not limited to, hospitalization.

 

MEDIA AND PHOTO CONSENT AND WAIVER

By using the Services, you hereby grant consent and permission to TTT, its representatives and employees the right to take photographs, movies, and other video and audio recordings (the “Media Materials”) of your child, or any member of the extended family in connection with the work of TTT.

 

You agree to give TTT irrevocable and unrestricted permission to use your children’s likeness in such Media Materials without his/her name for any lawful purpose including, but not limited to, publicity, newsletters, brochures, publication, reports, web pages, promotional materials, and social media channels in connection therewith.

 

You hereby irrevocably authorize TTT to edit, alter, copy, exhibit, publish, or distribute these materials for any lawful purpose. In addition, you waive any right to inspect or approve the finished product wherein your children’s likeness appears. Additionally, you waive any right to royalties or other compensation arising or related to the use of any Media Materials.

 

You agree that TTT owns the copyright in the Media Materials. You hereby hold harmless, release, and forever discharge TTT, and its legal representatives, from all claims, demands, and causes of action which you, your heirs, representatives, executors, administrators, or any other persons acting on your behalf or on behalf of your estate have or may have by reason of this authorization.

FIELD TRIP CONSENT AND WAIVER

By using the Services, you hereby grant consent and permission for your child to participate in all field trips arranged during their session(s).

You agree to review the field trip details provided on Camp TTT’s website, which will include information such as date, location, and departure/return times.

You consent to the safety and supervision measures put in place by Camp TTT, acknowledging that these are designed to ensure the safety and well-being of your child during field trips.

You consent to the transportation arrangements made by Camp TTT with certified transportation providers for the purpose of field trips, recognizing that all vehicles and drivers meet specific safety standards.

You commit to maintaining current emergency contact information in the Parent Portal, understanding its importance for immediate communication in case of an emergency.

You understand that field trips are a compulsory part of the Camp TTT experience and that no on-site supervision will be provided for campers who do not participate in field trips. You agree to arrange for your child's absence from camp on the days of field trips, should you choose not to have your child participate.

 

BEHAVIOR

  • Children and staff alike are entitled to a safe and pleasant environment. If a child shows disrespect, yells, threatens others, or acts violently, you will be called and expected to pick up your child immediately.

  • If your child is unable to safely interact or participate at camp, you will be called and requested to pick up your child immediately. The Camp Director will work with your family to help address any issues.

 

DISMISSAL POLICY

If it is in the best interest of the child and/or TTT, we reserve the right to dismiss a child.

 

OUTSIDE SERVICES

TTT strongly discourages our employees from providing families any services that are not part of our program. TTT does not authorize such services and is not responsible for any acts or omissions of any employee while providing such services.

 

ARBITRATION

In the event a dispute arises out of or relating to services provided by TTT that cannot be resolved in good faith directly with TTT, all parties (parents, guardians, TTT ) agree to participate in mediation by a mutually agreed upon third party. In the event that mediation does not resolve the dispute or no third party can be agreed to, then parties agree to participate in binding arbitration governed by the Commercial Arbitration Rules of the American Arbitration Association. Any settlement or award by the arbitrator shall be final and enforceable in any court having jurisdiction over this dispute.
